Client Concierge & Executive Administrator

Our Firm
We are a fast-paced, growing investment advisory firm that provides intimate financial planning and investment management for a diverse client base.

This Position
We are in search of a concierge for our clients, executives, and our entire 15 person office. As a client focused business, we need someone who can be our voice when clients call and face when they come to our office. We want our clients’ experience with us to be flawless and this role is critical in setting the tone for many interactions. In addition, the role serves as an executive assistant to the two owners of the firm, providing personalized calendar and communication support for their very busy work lives. Lastly, we need a person who can provide all the little services that make an office efficient, such as distributing mail, making tea, and a variety of logistical support.

At times this can be a demanding position. We need someone who can gracefully work under pressure, be a multi-task savant, and will take responsibility and authority in their area.

Primary Responsibilities

Client Service

  • Warmly greet clients in person and by phone as the first point of contact and provide flexible and personalized directions into our firm.
  • Provide exceptional service to our clients, listen to their needs, and help guide their expectations as a key communication link to the firm.
  • Logistical support for client events.

Executive Administration

  • Maintain executives’ schedules by arranging meetings and appointments, coordinating with client service team, and keeping executives aware of their schedule.
  • Assist with executives’ communication and correspondence by screening calls and voicemails.
  • Handle sundry tasks as requested by executives.

Office Administration

  • Coordinate logistics for company-wide meetings.
  • Coordinate and procure office perks such as snacks, lunches, massages etc.
  • Manage inbound and outbound mail, with particular attention to client correspondence.
  • Manage office supplies for the firm.
  • Scan documents both internally and for clients.
  • Assist with facilities services in coordination with our Business Manager.
  • Help with logistics of art exhibits in our street level space.

The Candidate

  • Has experience in a high-level client service role or in an executive administrator role with client facing aspects.
  • Is service-oriented, but authoritative by nature.
  • Capable of effective communication, in writing, in person and on the phone.
  • Shows warmth, poise and professionalism in dealing with people.
  • Is open, proactive, and flexible.
  • Possesses a positive, can-do attitude.
  • Is dependable, organized, and can work well with little supervision.
  • Maintains calm when dealing with interruptions and competing priorities.
  • Demonstrates a high degree of professionalism in dealing with confidential and sensitive issues.
  • Can manage a multi-line phone system.
  • Knows Microsoft Office and specifically Outlook very well, and shows an aptitude for learning other programs.

Experience and Education Requirements

  • Minimum two years working in a high-level client service role or in an executive administrator role with client facing aspects.
  • Bachelor’s degree or equivalent experience.

Compensation/Benefits

  • Base salary dependent on experience.
  • Annual performance-based discretionary bonus of up to 10%.
